Joining letter format

In Indian HR, ‘joining letter’ can mean the letter an employer sends before day one or the joining report a new hire signs on day one. This page gives templates for both, and the checks that keep them in line with your offer and appointment letters.

In short

A joining letter fixes a new hire’s first day. In India the name covers two papers: the letter an employer sends before joining, stating the date, time, place, reporting manager and documents to bring, and the joining report a new employee signs on day one to say they have reported for duty. Pay and terms stay in the offer and appointment letters.

What to include

  • Letterhead, a reference number and the date of issue.
  • The new hire’s full name and the designation they are joining.
  • The joining date with the weekday, and the exact reporting time.
  • The full reporting address or online joining link, with floor, gate or landmark, and the work mode for day one.
  • The name, title and contact details of the person to meet on arrival.
  • A reference to the offer letter by date, so that pay and terms are not repeated.
  • A document checklist that separates originals for verification from copies.
  • Any joining condition already stated in the accepted offer, with its document requirements and agreed submission date.
  • What happens on day one: onboarding, ID card, system access and induction.
  • A way to acknowledge: reply to the HR email, or sign and return a copy, by a set date.

How to issue it

  1. Send the joining letter once the candidate accepts the offer, and check it against the offer letter so that the designation, date and place agree.
  2. Fill in the reporting time, the address with a landmark, the person to meet and the document list. Ask the reporting manager to confirm that they will be available that day.
  3. Have the head of HR or another authorised signatory sign it. Send it as a PDF from the HR email address and ask the candidate to acknowledge by reply, or by returning a signed copy.
  4. Send a reminder a few days before the date. If the date changes, issue the revised-date letter and keep both letters on file.
  5. On day one, collect the documents. If your organisation uses a joining report, take it from the new hire, countersign it with the date and time received, and file it.
  6. Give the actual joining date to payroll, IT and admin, so that salary, email, access and the ID card all start from the same date.

Mistakes to avoid

  • Repeating pay, probation or notice terms, or adding conditions the offer did not state, lets the letters drift apart; refer to the offer letter by date and keep this one to logistics.
  • A date with no time, address or person to meet sends the new hire to the wrong gate; add all three, with a phone number or email that someone will answer on the day.
  • Asking for ‘all documents’ with no list leads to a second trip; send a checklist that separates originals from copies and says what to do if a document is still pending.
  • Using ‘joining letter’ for two different papers in the same email confuses new hires; say whether you are sending a letter or asking for a joining report.
  • Leaving the actual joining date unrecorded invites questions about the first payroll; countersign the joining report, or note the date in your HR system on day one, and pass it to payroll.
  • Agreeing a new date over the phone leaves no record; write the revised date in a letter, keep the earlier one on file and tell the reporting manager.

Joining letter or joining report: which one do you need?

The same name is used for two papers. A joining letter comes from the employer, usually before day one, and fixes the date, time, place, reporting person and documents to bring. A joining report comes from the new hire on day one and says that they have reported for duty.

Banks, schools and public-sector bodies often ask for the report. Many private companies send only the letter, or send the letter and collect the report as well. Pick one practice, name the document correctly in your onboarding email, and keep the countersigned report in the personnel file, because it records the actual date of joining.

The first three templates on this page go from you to the new hire. The fourth is the form the new hire signs for you.

Joining letter, offer letter and appointment letter

The offer letter invites the candidate and states the proposed terms. The appointment letter records the full terms of employment. The joining letter does a smaller job: it fixes the logistics of the first day.

Because the joining letter goes out between the offer and the first day, it must agree with the offer letter, and with the appointment letter issued on or before joining, on designation, date and place. Quote the offer letter by date instead of repeating pay and probation, so that a later revision cannot leave two versions in circulation.

Fresher and campus hires

Freshers need more detail than experienced hires. Give the exact reporting time and gate, a document checklist that separates originals from copies, the submission date that the offer already set for the final degree or provisional certificate, and one person to call on the morning.

Repeat only the joining conditions already stated in the accepted offer, and explain how the candidate should report pending documents. Still building the batch? You can post jobs and internships on LineupX for free, with no limit on the number of jobs.

Questions about the joining letter

Who writes a joining letter, the employer or the new employee?

Both uses exist. The employer writes the joining letter, usually before day one, to give the date, time, place and contact. The new hire writes the joining report on day one to say they have reported for duty. Say which paper you mean in your onboarding email, so that new hires do not send you the wrong one.

What is the difference between a joining letter and an appointment letter?

The appointment letter sets out the terms of employment, such as designation, pay and notice period, and you issue it on or before joining. The joining letter deals with the first day: date, time, place, the person to meet and the documents to bring. Cite the offer letter by date in the joining letter and keep terms out of it, so the papers cannot disagree.

Should a joining letter mention salary?

No. Pay, probation and notice terms belong in the offer and appointment letters. If the joining letter repeats them, a later revision can leave two versions in circulation, and the new hire may rely on the wrong one. Refer to the offer letter by date and keep the joining letter to logistics.

What do ‘forenoon’ and ‘afternoon’ mean in a joining report?

‘Forenoon’ means before midday and ‘afternoon’ means after midday. Some organisations record this in a joining report. Use it only if your organisation requires it, and record the actual reporting time. Ask your HR or payroll team how the information is used. If you do not need it, delete the choice from the template.

What should you do if a new hire asks to join later?

Ask for the request in writing and decide with the reporting manager. If you agree, reply with the revised-date letter, keep the earlier letter on file and tell payroll, IT and admin the new date. If you cannot wait, say so in writing and follow your company’s policy on the offer.

What if the new hire does not turn up on the joining date?

Call and email them the same day, then write with a short deadline to respond. Note each attempt and any reply. Decide what happens to the offer in line with your company’s policy, and check with your HR or legal adviser before you withdraw it. Handle every case in the same way.

Can you send the joining letter by email?

Yes. Send a signed PDF from the HR email address, repeat the date and place in the email itself, and ask the candidate to reply with an acknowledgement. Keep the email and the PDF together in the employee’s file. If you also collect a joining report, hand over the form on day one.

Do interns and PPO hires need a joining letter?

For an intern, adapt the employer-letter template to give the internship title, mentor, start date and reporting arrangements. Keep the agreed duration and stipend in the internship offer. For a PPO hire, use the employer-letter template with the full-time designation and start date from the accepted full-time offer. Keep the internship dates separate.
