Placement policy for students: rules colleges use, with a template

A placement policy for students sets out who can apply, how offers affect further chances, and what happens when students miss a drive or dispute a decision. Use the numbered template below to publish your institution's rules before registration and collect each student's acknowledgement.

Why you need a written placement policy

Write the policy before your placement cycle opens. You need a shared reference when a student asks whether a backlog prevents an application, whether a second offer is permitted, or how to appeal a missed-drive penalty. Give students, departmental coordinators and recruiters the same approved version. Name the approving authority, effective date, covered programmes and policy owner.

Separate institution-wide participation rules from each employer's requirements. Record the academic cut-off, permitted backlogs, graduation year and programme for every role. Explain how students correct an inaccurate eligibility record and when you recheck a cleared backlog. Registration should start a review of eligibility for each opportunity.

One student one job policy and dream offer policy

A one student one job policy closes further campus participation at a defined offer event. Choose that event precisely: selection announced, written offer received or offer accepted.

A dream offer policy defines an exception for a further opportunity. Publish the salary, multiple or role test, and the cap on further chances, before students apply.

State whether your exception uses an absolute annual cost to company (CTC), a multiple of the existing offer, approved roles, or a combination. Specify fixed pay, variable pay, joining bonuses and stock treatment so you compare offers consistently. Define whether the limit counts applications, interviews or successful offers. Resolve simultaneous results and pending interviews explicitly.

Define attendance, limits and exceptions before penalties

Keep training attendance, pre-placement talks and recruitment-round attendance separate. Define which sessions are compulsory, the attendance denominator, the withdrawal deadline and what evidence establishes a no-show. For remote drives, provide a contact for connection failures. Publish a graduated response to missed commitments, with a chance to explain before a confirmed penalty.

An application limit needs a counting period and a reset rule. An offer-rejection limit needs a definition of rejection, including whether silence counts. Keep employer rejection of a candidate separate from a student's rejection of an offer. Decide how withdrawn vacancies, changed offer terms, medical emergencies and approved academic commitments affect each count.

Record internships and pre-placement offers (PPOs) separately. Distinguish a possible conversion from a confirmed employment offer, and specify which event changes eligibility. Give higher-studies applicants an opt-out route and a return deadline. Define who can approve an exemption and how students appeal a decision without needing an informal favour.

Sample placement policy for students: numbered clauses

Simultaneous offers are resolved by [selection method and deadline]. Further participation requires an exception under clause 8 or 14.
  8. Dream offer exception. If you hold an offer, you may pursue [number and type of further opportunities] meeting [CTC threshold, multiplier or role criteria]. Compare annual CTC using [included components]. Obtain approval from [authority] before applying. Further participation ends at [event].
  9. Offer decisions and rejections. You must accept or decline through [channel] by [deadline]. A rejection means [definition]; employer rejection of your application is excluded. After [limit] student rejections during [period], [consequence] applies following review. Changed employer terms receive [treatment].
  10. Internships and PPOs. You must report internships and PPOs within [period]. Internship acceptance has [effect] on job eligibility. A conditional PPO counts at [event]; a confirmed PPO counts at [event]. An expired, withdrawn or unconverted PPO triggers [eligibility review procedure].

You can record consent through [channel], request corrections or withdraw consent through [contact]. The stated effect on pending applications is [effect]; records are retained for [period].
  14. Exemptions and appeals. Request an exemption for [grounds] with [evidence] through [channel]. [Authority] decides within [period]. You may appeal a penalty or eligibility decision to [reviewer] within [period]. Pending review, your participation has [status]. You receive a written outcome and reasons.

You must acknowledge material changes through [method]. Student acknowledgement: [name], [student ID], [policy version], [date], [signature or electronic confirmation].

Communicate the policy and record acknowledgement

Publish the approved policy PDF in one location and link it from registration, orientation and drive notices. Walk through a backlog correction, a missed interview and a dream-offer request. Give students a named contact and time to ask questions before acknowledging. Keep the exact version each student received alongside the acknowledgement date.

Track students who have not acknowledged and follow up before applications open. Record acknowledgement of participation rules separately from consent to share recruiter data. When rules change, explain the change, its effective date and its effect on existing offers. Collect a fresh acknowledgement for material changes.

Enforce placement rules for students consistently

Maintain a decision register with student ID, relevant clause, evidence, notice date, explanation, reviewer, decision, restriction expiry and appeal outcome. Check eligibility at application and again before sending a shortlist. Distinguish a missing record from a confirmed breach, and let students challenge incorrect attendance or offer data.

Ask coordinators to use the same checklist. Review comparable cases together, record reasons for exemptions and remove restrictions when they expire. Reconcile offer events across departments before imposing an offer-related block. Keep offer, acceptance and joining records distinct; your placement reporting records should preserve those differences.

How LineupX supports your placement policy

LineupX placement management software includes a placement policy builder with attendance rules, no-show auto-block, application and rejection limits, a CTC rule, a one-offer rule, exemptions and a policy PDF. Where enabled, students sign the policy before applying.

Bring your approved clauses when you book a demo. Review how your attendance, offer and exemption rules map to the available settings, and confirm the student signing step for your institution before opening applications.

Frequently asked questions

What should a placement policy for students include?

Include registration, eligibility and backlogs, attendance, application limits, offer rules, penalties, internships and PPOs, higher-studies opt-out, recruiter data sharing, exemptions and appeals. Name the owner and record each student's acknowledgement of the approved version.

What does a one student one job policy mean?

It ends further campus participation at the offer event your institution specifies. State whether that event is selection, receipt of a written offer or acceptance, and explain any approved exceptions.

How should you define a dream offer policy?

Specify the qualifying salary or role criteria, how you compare CTC, the number of further chances, approval requirements and the event that ends participation. Publish these conditions before students apply.

Should a backlog or missed drive automatically block a student?

Apply your published eligibility or attendance clause after checking the record. Give students a correction or explanation route, then record any restriction, its duration and the appeal process.

Does an internship or PPO count as a placement offer?

Define this in your own policy. Record internships, conditional PPOs and confirmed employment offers separately, and identify exactly when each affects further applications or the offer limit.
