What is the best campus recruitment software for companies in India?

15 min read

As of 31 October 2026, no single campus recruitment platform fits every company in India. For a small drive, start with free vacancy distribution and a tracker. For a pooled drive, compare college outreach, eligibility checks, scheduling and offers. For developer hiring, check coding assessments and live interviews. Superset, HirePro, Mercer | Mettl, Unstop, HackerEarth and KampHire describe such campus products on their own pages.

Updated 31 October 2026. Platform features and published pricing were checked against each platform’s official pages.

What does campus recruitment software do?

Campus recruitment software can manage college outreach, applications, assessments, interviews and offers. Check which stages the quoted product includes, because some cover only a few and some add people who run the drive for you.

  • Reach. Finding colleges and sending your job to their placement cells.
  • Drive management. Eligibility rules, registrations, pooled drives, schedules and panels.
  • Assessments. Online aptitude, coding, English or role tests. Proctoring tools can flag suspected malpractice for review.
  • Interviews. Video or live coding interviews, with shared feedback forms.
  • Offers and joining. Offer letters, acceptance and joining documents.
  • Reporting. Where applicants drop out, by college and by round.

Which type of tool do I need?

Choose the stage that needs support: reaching colleges, assessing candidates, scheduling rounds or running the drive.

  • Free vacancy distribution. You post a role and applicants come to you.
  • Assessment product. Tests, proctoring and scoring for candidates you already have.
  • Drive-management software. Applications, eligibility, schedules and offers across colleges.
  • Managed service. The vendor’s people run logistics, panels or outreach.

The table includes posting services, assessment tools and products for managing a whole drive. Before requesting a quote, confirm the included stages and who will run each one.

How do I choose campus recruitment software?

Before requesting demos, write down your target hires, roles, colleges and available staff time. Shortlist vendors whose stated features cover those requirements.

  • Volume. A handful of hires from one or two colleges can run on a free posting and a spreadsheet; a pooled drive across many colleges needs a tracker that groups applicants by college.
  • Roles. Judge candidates on the tasks the job needs: a mock customer call for support, an email reply for sales, a spreadsheet reconciliation for operations, a coding exercise for developers. Ask each vendor to show how it assesses and scores those tasks.
  • Assessment needs. Decide whether you will use the vendor’s tests, build your own or connect a provider you already use. As of 31 October 2026, Superset’s employer page says an external assessment provider can plug in. Ask every other vendor.
  • College coverage. Vendors describe coverage in different ways: colleges in a database they can email, colleges with a login, or colleges where a drive has run. Superset’s employer page, for example, describes both a database of colleges and the institutions on its network, as of 31 October 2026. Ask for the list for your target states.
  • Reporting and engagement. As of 31 October 2026, Superset’s employer page lists live dashboards and custom reports, Unstop’s campus page a real-time dashboard and reports, and HirePro’s workflows page analytics reports by stage and college. Give students the role, location, [CTC in LPA], selection dates and a named contact. Ask vendors to demonstrate invitations, reminders and attendance tracking.
  • Budget. Ask for a written quote in rupees and for its unit (per candidate, per drive or per year), and fill in the worksheet below for each vendor.
  • Effort. Estimate staff time for college outreach, candidate queries, panel scheduling and offer follow-up.

What should I ask a vendor before I sign?

Send each vendor the same written questions and your drive brief, ask for written answers before the demo, and compare the answers side by side.

Can a small company run campus hiring without paying for software?

Yes. A small company can start with a free posting, a direct email to each placement cell and a spreadsheet to track applicants. Consider paid software when manual coordination delays shortlists, interviews or offers.

  • Free posting. As of 31 October 2026, five platforms state a free employer route. LineupX has no limit on posts. Internshala permits India-based employers one free internship or job listing a month, and its posting FAQ says the free listing shows the first 20 applications; viewing more requires an upgrade. Freshersworld allows unlimited free posts, with up to 5 applicant contacts and 10 call letters per free job, for direct employers advertising full-time jobs with a fixed salary from the first month. HireMee calls its job posting completely free, and Unstop says the same. Our free job posting guide compares the allowances.
  • Trials and demos. As of 31 October 2026, KampHire offers a 10-day free trial, Unstop offers a free demo and Mercer | Mettl’s campus page has a Try for free link. Ask each what the trial includes.
  • Direct contact. Email each placement officer a one-page job description. Before applications open, arrange a short company talk covering the work, location, pay components and selection timetable. Our guide to reaching college placement cells has the email templates, and our guide to campus drives for small companies has a six-week plan.

Keep the master tracker with the recruiting team. Give each placement cell access only to its own students’ schedules and status, and restrict interview notes to the selection team. Test the video tool with the interview panel and placement cell before the drive. Suggested columns:

Candidate ID: [unique number]
Name and contact reference: [held by the recruiting team]
College: [name]
Degree and batch: [for example BCom, 2027]
Eligible: [yes / no, and the rule applied]
Test result: [score and date]
Interview slot: [date, time, panel]
Feedback: [panel notes; selection team only]
Current stage: [registered / tested / interviewed / selected]
Offer status: [none / offered / accepted / declined]
Offer acceptance deadline: [date and time]
Joining status: [pending / joined / did not join]
Updated by: [placement coordinator after registration; recruiter after each round]
Offers approved by: [hiring manager]

Prepare offers and the joining step in this order, starting from our offer letter format:

  1. Approve the offer template and compensation.
  2. Reconcile the selected list against candidate IDs.
  3. Get hiring-manager approval.
  4. Issue offers through the agreed college route, and record acceptance.
  5. Assign one recruiter to confirm the acceptance deadline and joining date, answer pre-joining questions and update the placement cell.

Rehearse the whole sequence with dummy records before live applications open.

How do I pilot a platform with one drive?

Use a pilot to check registration, eligibility, score exports and offer records under your own drive conditions. This is an example four-week plan, so agree dates with each placement cell first.

  1. Week 1: Write the drive on one page and pick two platforms from the tables. Ask each about any step its page did not describe.
  2. Week 2: Send the demo request and the questions, and ask each vendor to demonstrate your drive.
  3. Week 3: Compare the written answers and quotes in rupees. Ask each vendor for a reference call with an employer that ran a drive with colleges like yours.
  4. Week 4: Run one drive with two or three colleges on the platform you chose, with a manual applicant list as a backup.
  5. After the drive: Compare staff hours with your usual process, record withdrawals and missed rounds, and collect feedback from students and placement cells.

Approve the pilot only after checking registrations, eligibility decisions, exports and offers against your expected records. Also test a disconnected candidate’s recovery route, concurrent sessions at your expected load, and whether each placement cell sees only its own candidates.

Vendors change features and prices, so confirm what you rely on in your written quote. For the steps of a drive, read our guide to the campus recruitment process for companies. For boards that sit beside campus routes, read our comparison of job boards for hiring freshers.

What happens to unused assessment credits?

Ask whether unused credits expire, carry forward or can be reassigned to another drive. Put the expiry date and any rollover conditions in the order form.

Is campus recruitment software the same as an applicant tracking system?

No, though they overlap. A general applicant tracking system follows candidates through any kind of hiring. Campus products may add college-specific outreach, eligibility and drive coordination, so check which modules your quote includes.

Can I run a campus drive entirely online?

Yes. A virtual drive moves tests and interviews online, so students need not travel. Ask each vendor what students need, such as a laptop, a camera and a stable connection, and plan a retest slot for anyone who gets disconnected.

How should we handle duplicate registrations in a pooled drive?

Ask the vendor how it detects duplicates, for example by email address, phone number or enrolment number. Check suspected duplicates before merging them. Use the college name with any college-issued enrolment number, and preserve the candidate’s application history.

Who should answer candidate queries on drive day?

Name one owner and publish a phone number and an email address on the drive schedule. Decide in advance who answers each kind of query, such as logins, connection drops and eligibility, and ask the vendor whether its team provides a help desk.
