To hire fresh graduates from colleges in India, define the role, eligibility, pay and joining date, then contact suitable placement cells. Use an open posting for a few vacancies or agree an on-campus, pooled or virtual drive for a larger intake. Assess candidates with a short job-related task and structured interview, send written offers through the agreed college process, and confirm joining arrangements.
Updated 31 October 2026. The Internshala, Unstop, Superset, AICTE internship portal, National Career Service, IIT Kanpur and LineupX pages quoted here were opened and checked on that date.
Which route should I use to hire fresh graduates from colleges?
Compare these five routes against your vacancies, joining dates and selection capacity: an on-campus drive, a pooled drive, a virtual drive, an off-campus posting and an internship that can lead to a pre-placement offer (PPO). These options can overlap: a pooled drive can run online, and an open posting can support a college drive.
Swipe sideways to see every column.
| Route | Suits when | Effort for you | What determines timing |
|---|---|---|---|
| On-campus drive | You need several hires for one role from a college you know. | High: plan for travel, interview panels and any venue or lab arrangements. | The college’s placement calendar. |
| Pooled drive | You need a few hires from each of several nearby colleges. | Medium to high: one venue or link, and a nomination from each cell. | The participating colleges’ calendars and agreed arrangements. |
| Virtual drive | The colleges are far away, or you have no travel budget. | Medium: a test platform, identity checks and back-up slots. | Whether the cell accepts online rounds, and your test set-up. |
| Off-campus posting | You need one to three hires, or someone soon. | Low to medium: write the posting and screen applicants yourself. | You can open applications independently; final-year candidates’ availability still depends on exams and graduation. |
| Internship, then PPO | You have suitable work and a mentor, and want to see a student’s work before you offer a job. | Medium: a scoped project, a mentor and a decision date. State the stipend and the PPO criteria in the posting. | Internship duration, conversion decision date and college policy. |
The meaning of each format is set out in what campus hiring is and how its formats work. The full drive process, with the email, the policy rules, the rounds and a checklist, is in the campus recruitment process for companies.
How do I choose colleges and degrees?
List the work the fresher must handle in the first month before choosing colleges. Then look for the degrees and colleges where students are likely to have practised it. For colleges beyond the best-known names, see how to hire from tier 2 and tier 3 colleges.
Find the placement officer or Training and Placement Officer (TPO) on the college’s official placement page. If no contact is listed, ask the college office for the relevant department’s placement contact.
Before you shortlist a college, check four things:
- Course relevance. Read the course page, then ask the cell for the final-year subjects and projects.
- Eligible numbers. Ask for the number of eligible, interested students by branch and graduating year.
- Logistics. Count the travel hours for your panel, or check that the college can host an online round.
- Joining dates. Confirm exam dates, placement slots and the earliest joining window before committing to a schedule.
The role decides the degrees, and a degree name does not guarantee a skill. Use this table as a starting list and change it for your team.
| Role | Degrees to accept | What to check besides the degree |
|---|---|---|
| Junior software developer | B.E. or B.Tech in computer science, IT, electronics and related branches; BCA; B.Sc. in computer science; MCA | A project the student can explain line by line, and a short coding or debugging task. |
| Graduate engineer trainee (non-software) | B.E. or B.Tech in the branch the work needs, such as mechanical, electrical or civil | Core-subject basics, a short problem from the actual work, and readiness for site or shift work if the job needs it. |
| Data or business analyst | B.Sc. in statistics, mathematics or computer science; B.Tech; BCA; B.Com; BBA; MBA | A spreadsheet or SQL task, and how the student explains a result to a non-expert. |
| Sales or business development executive | BBA, B.Com, BA, MBA, or any graduate | A short role-play call and a written follow-up. |
| Finance and accounts executive | B.Com, M.Com, BBA (finance), MBA (finance) | Accounting basics, spreadsheet skills and care with numbers. |
| Customer support or operations executive | Any graduate | A written reply to an upset customer, and the shift or language the job needs. |
Set degree requirements from the work, and check relevant skills rather than relying on the qualification alone.
Pro tip: ask which roles visited last season
Ask the cell which roles came to campus last season and how many students were eligible for each. Check whether students applied for comparable roles, and what attracted or discouraged them.
What does a placement cell need from me?
A placement cell needs one complete job notice before it schedules you. Fill in the template below, attach the full job description, and expect the cell to ask you to follow its placement policy.
Company and role: [company], [role title] Vacancies: [number] Graduating batches: [years] Degrees and branches: [list] Marks and backlogs: [minimum marks or CGPA and backlog rule, or "none"] Responsibilities in year one: [three to five lines] Annual fixed pay: [₹ amount] Variable pay: [₹ amount and conditions, or "none"] Total cost to company (CTC): [₹ amount] Location and work arrangement: [city; on-site, hybrid or remote] Shifts: [timings, or "day shift"] Selection rounds: [task, interview, other] Application deadline: [date] Joining window: [month and year] Company contact: [name, phone, email]
For an internship, state the monthly stipend, duration, working hours and any pre-placement offer criteria.
Ask two questions in your first message: which forms the cell needs from a company, and whether it charges anything. Colleges set their own rules. The IIT Kanpur recruiter page, read on 31 October 2026, says there are no fees for registration or the placement process, and it allows a pre-placement talk only after the company fills in a job announcement form.
The first email, the follow-up and the drive confirmation are set out in how to reach college placement cells. The pre-placement talk and the rest of drive day are in the process guide linked above.
How do I make offers and get freshers to join?
Give the placement cell your selected list first, send written offers next and keep a reserve list. Then agree a contact schedule so candidates know whom to ask about joining dates, documents and changes.
| When | What you send or do |
|---|---|
| On the day of selection | Send the selected list to each cell and agree the offer date with it. |
| By the date you promised | Send offer letters through the channel and at the stage agreed with the placement cell. Include the role, location, pay, joining window, conditions and reply deadline. |
| When a student accepts | Send a welcome note with one named contact, the document list and the joining month. |
| When a student declines | Confirm the reserve candidate’s availability through the agreed channel, and the placement cell’s process, before issuing the next offer. |
| Every month until joining | Share a short update: a learning plan, an introduction to a recent joiner, or a change of date or place. |
| Two weeks before the first day | Send the joining letter, the first-week schedule and what to bring. |
| After the first month | Tell each cell which skills were strong and which were weak. |
For the wording of the letters, see the offer letter format, and the internship offer letter format for interns you want to convert.
After each season, fill in one sheet per college. Compare joiners with offers made and the hiring target for each college. Read those figures alongside recruitment spend and manager feedback; raw totals alone do not show which college suited the role.
College: [name], [city] Route used: [on-campus / pooled / virtual / posting / internship] Hiring target for this college: [number] Eligible students: [number] Took the task: [number] Interviewed: [number] Offers made: [number] Offers accepted: [number] Joined on the first day: [number] Recruitment spend for this college: [₹ amount] Days from first email to last offer: [number] Manager feedback after the first month: [note] How quickly the cell answered: [same day / a few days / a week or more] Use again next season: [yes / no / maybe]
What is a simple 6-step plan to hire freshers from colleges?
This example follows a 30-person company hiring four freshers. Colleges set their own dates, so treat the weeks as a guide rather than a rule.
Fictional example. Anika Rao runs operations at a 30-person accounting-software company in Coimbatore. She needs two junior developers and two customer-onboarding executives, all to join in July. Before confirming four vacancies, she names the manager for each role and agrees how much supervision each team can provide in the first month.
| Step | What you do | Anika’s version |
|---|---|---|
| 1. Brief (week 1) | Write what the job needs in the first month, the pay, the location, the joining month and the number of hires. | A one-page brief: two developers, two onboarding executives, annual CTC ₹[amount] lakh, Coimbatore, July. |
| 2. Route (weeks 1 to 2) | Choose a route from the table above, two or three colleges and a back-up posting. | A virtual pooled drive across three colleges in the region, plus an open posting. |
| 3. Outreach (weeks 2 to 4) | Send the notice, confirm each college’s policy and dates, and publish the back-up posting. | Three emails to placement officers, and a 20-minute online Q&A with the engineering lead for all three colleges. |
| 4. Selection (weeks 4 to 7) | Run one short job-related task and one structured interview for each role, the same for every college. | A 45-minute debugging task for the developers. For onboarding, a 30-minute exercise that explains an account set-up, writes a customer reply and includes a small spreadsheet check. Then 30-minute interviews. |
| 5. Offers (weeks 7 to 9) | Send the selected list to the cells, then written offers, and keep a reserve list. | Four offers and two reserve names, sent through each cell’s agreed channel. |
| 6. Joining (until the first day) | Write to each fresher every month, collect documents and plan the first week. | A monthly note, one call with a recent joiner, and a first-week plan sent in June. |
In the outreach weeks, offer students a role preview: first-month duties, a short talk by the manager and a Q&A through the cell. Tell applicants when to expect shortlisting results and interviews and who will send updates, and tell unsuccessful applicants when their application is closed.
Each role has its own scoring criteria, applied the same way at every college. The panel agrees the essential criteria before it reviews any submission, then scores each criterion from 0 to 3: 0 no usable evidence, 1 partial, 2 meets the task requirement, 3 meets it and explains checks or trade-offs.
| Role | Criteria |
|---|---|
| Junior developer | Debugging accuracy; explanation of the fix; testing of the fix; clarity in the interview. |
| Onboarding executive | Account set-up accuracy; clear explanation to a customer; judgement on when to escalate; written reply. |
Two sample prompts for the structured interview:
- Developer prompt: “Which test would have caught this bug, and why?”
- Onboarding executive prompt: “The customer cannot complete account set-up and is becoming frustrated. What would you check, explain and escalate?”
Pro tip: agree the reserve-list process before interviews
Agree with the placement cell who may contact reserve candidates and when reserve status may be disclosed. Confirm availability through the agreed channel before issuing another offer.
Which platforms can help me find freshers or contact placement cells?
Use listing services to collect applications; consider campus-hiring software when you also need college outreach and drive coordination. The table lists only what each page says as of 31 October 2026; where a page states no price, the table says so for that page only.
| Platform | What its own page states (31 October 2026) | Source |
|---|---|---|
| Internshala | Supports internship and fresher hiring; its post-a-job page also mentions experienced candidates. India-based employers can post 1 free internship or job listing a month, and a free listing shows the first 20 applications. The terms set minimum pay for listings and describe a paid premium plan; those pages state no price for it. | Terms and post a job |
| Unstop | The campus hiring page presents campus recruitment software for end-to-end campus hiring: sourcing, assessments, virtual interviews and offer rollout, with a demo on request. That page states no price. | Unstop campus hiring |
| Superset | The employer page is headed “Hire best talent from campus at scale”. It describes one-click outreach and job posts to placement cells, and applications collected by college or as a pool campus drive. That page states no price. | Superset employer page |
| AICTE National Internship Portal | The portal offers internships for AICTE, UGC, IGNOU and other students. Its home page states that student registration, applications, shortlisting and completion certificates are free. Employer registration is available; the employer login page advertises unlimited stipend and credit-mapped openings, with no commission or recruitment fees. | Home, registration and employer login |
| National Career Service | A portal of the Ministry of Labour and Employment. Its home page offers vacancies “from freshers to experienced professionals” and says it charges no fee at any stage of registration, job application or interview processing. Employers use “Post New Jobs”. The home page does not mention campus hiring. | ncs.gov.in |
| LineupX | Employers post jobs and internships free, with no hidden charges and no limit on the number of posts. LineupX reviews each job before it goes live, and placement teams at 100+ institutions and edtechs share the role with the right students. | Post jobs free and hire freshers |
Before choosing a service, confirm its price, relevant college coverage and what the quoted plan includes. Prices and limits change.
What should I budget for college hiring?
Estimate panel and coordination time, then add travel, tools and candidate reimbursements. Track recruitment spend separately from induction, equipment and mentoring. Divide recruitment spend by joiners to calculate recruitment cost per joiner; if nobody joins, report the spend and zero joiners.
- Panel time: [interviewers] × [hours] × [agreed hourly cost], or the hours alone if finance assigns no cost.
- Travel and stay for your team: [₹ amount], or online test and video tools: [₹ amount].
- Reimbursement for candidates who travel to the final round: [₹ amount] × [number].
- Printing, hall or lab hire that the college does not cover: [₹ amount].
- Optional paid advertising, job fairs or campus outreach: [₹ amount], or none.
Salary commitments go in a separate line: annual fixed pay, variable pay and joining costs for each person you expect to hire. Induction, equipment and mentoring get their own lines. Ask each cell whether it charges companies anything, and do not assume a standard fee. Fill the placeholders only when your finance team confirms the figures.
What mistakes do employers make when hiring freshers from colleges?
Before you open applications, check for unclear eligibility, mixed job notices, uncertain PPO criteria and gaps in candidate communication.
- Counting offers, not joiners. Record offers accepted and candidates who actually joined, college by college. Use those figures alongside offers made, hiring targets, recruitment spend and manager feedback when deciding which colleges to approach again.
- Writing one notice for several roles. A single notice with different pay and eligibility confuses students and cells. Send one notice per role.
- Setting the degree list from habit. “B.Tech only” can rule out BCA or B.Sc. graduates who do the work well. Test the skill, then decide.
- Bypassing the agreed contact process. Agree with the placement cell who will contact candidates and send updates.
- Promising a PPO without criteria. Put the conversion criteria, the decision date and whether an approved vacancy is required in the internship letter.
- Going quiet after the offer. Confirm that the offer and joining date still stand, and tell candidates promptly about changes.
Should I set a minimum CGPA when I hire freshers from colleges?
Choose a CGPA cut-off only if you can explain its relevance to the role. Ask each placement cell about its eligibility and backlog policies, and publish your agreed criteria before applications open. A cut-off you set does not override a college’s own rules.
Can I hire freshers from colleges in other cities for a job in my city?
Yes. Say in the notice whether the job is on-site, hybrid or remote, and what you will pay for if a student must relocate, such as travel for the final round or a stay in the first weeks. Run the early rounds online so that students travel only if they reach the last one.
Should I hire final-year students or graduates who finished last year?
Either group may suit the role. For final-year applicants, confirm exams, course commitments, the college’s placement policy and the earliest agreed joining date. For earlier graduates, confirm current availability rather than assuming immediate joining. State the eligible graduating years and any qualification conditions in the notice.
What if the same candidate applies through two colleges or channels?
Keep one candidate record and note every application source. Confirm the candidate’s college and the placement cell handling the drive before scheduling duplicate rounds. Apply the same selection criteria and record the agreed communication channel.
What should I do if no placement cell replies?
Do not read silence as a refusal. Send the notice once more with a short cover line, and ask an alumnus or a student coordinator to confirm that the officer received it. Keep an open posting running meanwhile, and note which colleges answered so that you can plan the next season around them.
